What you'll do
Your brilliant organisational skills will make you the perfect candidate for this busy role, as you'll be responsible for supervising all the administrative tasks that help our offices run smoothly. Dedicated to ensuring all our people enjoy a positive, efficient and productive work environment, you'll also arrange any necessary repairs or renovations to the offices, and maintain our supplies of stationery and other equipment.
This role is based at our Tottenham Court Road office but you'll also be expected to travel to our other London locations to ensure we maintain consistent support across our organisation.
Key responsibilities
- Regularly review, assess and update our health and safety policies
- Arrange regular testing for electrical equipment and safety devices
- Provide office-related support to line managers in new employee inductions
- Liaise with site managers, security personnel and cleaning staff to ensure the smooth operation of the offices
- Assist visitors by coordinating their needs, managing meeting spaces and maintaining a welcoming environment
- Purchase food and refreshments for meetings
- Ensure office snacks and drinks supplies are kept well stocked
- Develop, implement and oversee new procedures and policies to improve efficiency and adapt to evolving business needs
- Foster employee engagement and support workplace culture initiatives
- Control office costs, monitor expenses and manage the budget to optimise financial efficiency
- Ensure the timely and accurate handling of postage, including receiving, sorting and dispatching
Who we're looking for
To be a success in this important role you'll have plenty of experience working in office administration, good knowledge of health and safety regulations and compliance procedures, and the proven ability to manage budgets, facilities and office procedures. It goes without saying that you'll be a brilliant organiser and multi-tasker, and your superb interpersonal and communication skills will make you a trusted and valued colleague.
When it comes to qualifications, we'd like you to have GCSEs or their equivalent in English and Maths, while A levels or similar in business administration, management or a related subject would be a plus. A confident user of office software, including the MS Office suite, you should also possess good attention to detail, creative problem solving skills and the ability to liaise with a diverse range of internal and external stakeholders.
In addition, the following would be a bonus:
- Experience in industries or sectors with similar operational needs
- Previous involvement in workplace compliance audits (for example PAT testing and fire safety)
- A history of implementing process improvements
- Familiarity with UK workplace safety legislation
